2 Quick Ways To Insert A Pdf Into Word (With Steps)

If you use Microsoft Word for work, the ability to insert a PDF file into a document can be critical. As a tech writer and software engineer, I find myself using this feature often.

When I have a report created in PDF format from another application, and I need to insert it into a Word document, using this feature can be a time saver. I don’t want to have to re-type all that info in Word.

Thankfully I don’t have to, and neither will you. With a few simple steps, you can easily insert the PDF into your document. Learn how below.

Quick Notes

There are multiple methods you can use to insert a PDF into a Word document.

One quick and simple way is to open the PDF document, select all of the text, copy it, and then paste it into Word.

This method works for some text, but if the PDF has any formatting, you will most likely lose it; it won’t look correct after you paste it into Word. In addition, you can lose data. For these reasons, we don’t recommend this solution.

The other methods are to insert the PDF file or to drag and drop it into your Word doc. I prefer inserting it as an object; I feel like I have more control over where it’s going and how it’s added. We cover both methods below.

To Link or Not To Link

When you use one of the methods below to insert your PDF, you will need to decide whether you want it to be linked to the Word document or not. What does that mean?


Any changes you make to the PDF will show up in your Word doc; there will be no need to update it every time the PDF changes. Sounds great, right?

The downside? The PDF is not embedded in the actual Word document. Because of this, you will always need to keep a copy of the PDF in the same location where you linked it. If the Word doc cannot find the PDF file, it cannot open and display it.


If you choose not to link, Word will embed the PDF into the Word document. The PDF will be part of the doc; no matter where you send it, copy it or open it, the Word doc will still have the PDF file inside it.

The positive: you don’t have to worry about sending the PDF and the Word document when sharing.

The negative: if you need to make updates to the PDF file, they will not automatically show up in Word. You will need to delete the PDF from the Word document and then re-insert it.

Method 1: Inserting as an Object

Method 1 is the preferred method. It offers a great deal of control and precision.

Note: The screenshots below are from an older version of MS Word. However, the steps remain the same in newer versions of Word.

Step 3: Select “Object” to insert an object.

This option is usually located on the upper-right side of the toolbar. In newer versions of Word, it may only display an icon with a small window in the section called “Text.” Hover your cursor over the icons to identify the one marked “Object.”

Step 4: Select the “Create From File” Tab.

Once the object window comes up, you will see two tabs. Select the one labeled “Create From File.”

Step 5: Select your PDF file.

Step 6: Select your options.

If you wish to insert the PDF as a link (as discussed above), check the “Link to File” checkbox.

Method 2: Drag-and-Drop

The drag-and-drop method is simple, but there’s a downside: you don’t have a lot of control over how the PDF is inserted.

The PDF will be unlinked; depending on the version of Word you’re using, it will drop in as an icon or as the document itself. I have an old 2010 version of Word which puts in the entire PDF. When I tried it in Word 365, however, it showed only an icon.

The following are the steps for the drag-and-drop method. I am using an older version of Word on a Windows 7 machine, so yours may look different. However, the steps are performed in the same manner in newer versions of Word.

Step 1: Scroll to the location in the Word document where you want to insert the PDF.

Step 2: Open Windows File Explorer and navigate to the PDF you wish to insert.

Step 3: Select the PDF and Drag it into the Word Document.

Once it is in the place you desire, release the left mouse button, and the PDF will get placed in that spot.

If you run into any issues with how the PDF is presented, you can always delete it from the doc and re-insert it.

“Documents and Data” — what is it? Why does it take up so much storage space on your iPhone and iPad? How do you get rid of it?

We’ll cover everything you need to know on how to delete Documents and Data on your iPhone and iPad.

What is Documents and Data on iPhone and iPad?

Simply put, it’s your browser history, cookies, logs, caches of photos and videos, database files, and other data piled up by your apps.

Neglect to clear it regularly, and it’ll run rampant in your device’s storage. The total file size of Documents & Data can even supersede the actual size of the associated apps!

Why do apps need to cache data?

They store caches to enhance your user experience. For instance, when you search anything in Safari, the web browser keeps a record of it to allow you to access it instantly next time. Likewise, YouTube keeps a record of your watch history to recommend the type of videos that you like watching.

Now that you know what Documents and Data is, you may like to know about “Other” which takes up quite a lot of storage.

According to Apple, “Other” data is non-removable mobile assets. It includes Siri voices, fonts, dictionaries, Keychain and CloudKit Databases, Spotlight index, system data, and other non-removable logs and caches.

How to check iPhone or iPad Documents and Data storage

You can see your iPhone’s storage by opening Settings → General → iPhone Storage.

However, to see Documents and Data, you need to connect your iPhone to a Mac or PC.

Launch Finder (on macOS Catalina and later) or iTunes (other Macs and Windows PC). Trust the computer if prompted. At the bottom, you’ll see a bar that shows the iPhone’s storage space. Hover your mouse pointer over different colors to reveal the name and space occupied by that category.

How to delete Documents and Data on iPhone and iPad

Delete Documents and Data of individual apps

The easiest and most-effective way to clear Documents and Data for an app is to uninstall it. Later, restart your iPhone and reinstall the app.

However, this means data that isn’t backed up to iCloud or other cloud storage will be deleted. For example, if you uninstall WhatsApp without backing up your data, all messages and media will be deleted.

Note: When you uninstall and reinstall an app, you automatically get the latest version.

To uninstall an app: Open Settings → General → iPhone Storage → tap on an app → tap Delete App and confirm.

If you don’t wish to remove the data from an app, but still want to free some space, check out how to offload it.

Delete Documents and Data from Files

Open Files and tap Browse.

Tap Recently Deleted and tap More (three dots.)

Now, tap Select then choose Delete All. Tap done. This will empty Files’ “Trash” Documents and Data.

Next, tap On My iPhone under Locations. Select the files you don’t need and choose Delete. After you clear a few unnecessary files, make sure to remove them from Recently Deleted again.

Clear the Documents and Data of specific apps from iCloud

How about removing saved data from specific apps from iCloud? You can prevent your precious iCloud storage from becoming cluttered for space by getting rid of redundant files. Keep in mind; it will wipe out all the data from the cloud and connected devices. And it can’t be undone.

Open Settings and tap on your Apple ID banner at the top of the screen.

Tap iCloud → Tap Manage Storage.

Tap on an app and then tap Delete Data. Confirm your action. You can repeat the process with other apps

That’s how you can delete the data of individual apps from all of your devices synced with the same iCloud account.

Tip: Only allow selected apps to store their data in iCloud. This will help you manage your storage in a better way.

Delete Safari Documents and Data on iPhone

Safari consumes significant space, and thus clearing the website data, history, reading lists, etc. will free up significant space. Let me show you how to:

Clear History, Website Data, and Cookies Data: Open Settings and tap Safari. Scroll down and tap Clear History and Website Data. Finally, tap Clear History and Data.

Reading List: If you tend to save several webpages offline to the Reading List, it might be consuming substantial space. To delete your Safari Reading List, open the app and tap the open book icon. Next, tap the glasses icon. Finally, tap Edit, choose the items and tap Delete.

In most cases, it’ll be iCloud Drive or On My iPhone.

Clear Documents and Data from Messages
